Privacy Policy

Effective date: October 19, 2026

This is the privacy policy for carolina.codes, the website of the Carolina Code Conference. It explains in plain English what this website actually does.

Who we are

The Carolina Code Conference is a polyglot and cybersecurity conference held every August at Flywheel Coworking, 25 Goldsmith St., Greenville, SC 29609. The conference and this website are run by Brightball, Inc. ("we," "us"). Barry Jones is the organizer.

What we collect and why

Information you give us

  • Newsletter signup. When you enter your email in a "Subscribe" box, it goes to our newsletter on Substack (blog.carolina.codes) so we can send you conference news. Your browser also tells Substack which page you signed up from. We also store the email, and which signup form you used, in our site database and server logs for security purposes.
  • Jimmy C. Award nominations. The nomination form asks for your name, email, and city, and how you know the nominee. It also asks for the nominee's name, email (optional), and city, the groups they contribute to, how long they've been contributing, why they deserve the award, examples of their service, links, and anything else you'd like to add. You can attach a file of up to 8 MB. When you submit, you agree that the nomination can be shared with the selection committee. If you nominate someone, please share only what you're comfortable with them and the committee seeing.
  • Staff login. Logins are for invited conference staff only. Visitors can't create accounts.

Information collected automatically

  • Session data. Our session cookie holds a security token, your IP address, a random visit ID, and some technical request details, including headers added by Cloudflare. A separate cookie remembers the programming languages you pick on the Benchmarks page. We use these to keep the site secure, remember your language choice, and measure how the site's language backends perform. We also store your IP address and visit ID in our site database and server logs for security purposes.
  • Server logs. Our host records basic request details such as IP address, page, browser type, and time, so we can run the site and fix problems.

We don't use analytics services or advertising trackers, and we don't sell personal information.

Speakers and event photos

Speakers. We take speaker applications through Sessionize, and they're kept there for as long as Sessionize keeps them. If you're selected, we publish your name, photo, bio, company, talk details, and any social links you give us. Video of your talk goes on our YouTube channel, and photos go on your speaker page.

Photos and video at the event. We take photos and record video at the conference and post them on this site, the blog, YouTube, and social media. If you attend, you may appear in them. If you'd rather not be photographed, tell a photographer or organizer at the event. To have a photo of yourself removed from our channels, email us a link to it.

Third-party services

We also link to Zulip (our community chat), GitHub, social networks, and sponsor websites. Each of those has its own privacy policy.

Cookies

The site sets two first-party cookies. _carolina_key is a secure, HttpOnly session cookie that's cleared when you close your browser. _carolina_polyglot_languages remembers your Benchmarks language picks for one year. Staff who choose "stay logged in" get one more login cookie. The site also keeps a small page-reload counter in your browser's local storage and some navigation data in session storage. We don't set analytics or advertising cookies. Our fonts are served from our own servers.

Email and unsubscribing

Every newsletter email has an unsubscribe link, and you can also manage your subscription in your Substack account.

How long we keep data

  • Newsletter: until you unsubscribe.
  • Nominations: kept for award selection and our historical records. Email us and we'll delete yours.
  • Speaker applications: kept by Sessionize as described above.
  • Speaker pages, talk videos, and event photos: kept as part of the conference archive unless you ask us to remove them.
  • Server logs and security records: kept only as long as we need them for security and operations.

Children

This site isn't directed at children under 13, and we don't knowingly collect their information. If you think a child has sent us information, contact us and we'll delete it.

Your choices

You can email us to ask what personal information we hold about you, or to correct or delete it. You can unsubscribe from the newsletter at any time, and you can block or delete cookies in your browser, though the site may not work properly without its session cookie. Depending on your state, you may have more rights under local law, and we'll honor them. If you're visiting from the EU or UK, you can make the same requests, and we'll respond as the applicable law requires.

Security

The site is served only over HTTPS, the session cookie is secure and HttpOnly, and staff accounts are invite-only. No system is perfectly secure, but we limit what we collect and who can see it.

Changes

If we change this policy, we'll update this page and the effective date above.
